Policies & Information
The information below provides a brief overview of the policies by which Takoda students are expected to abide.
All students must sign an enrollment agreement prior to beginning classes.
Status is based on credits. A half-time student is defined as a student who is enrolled for 6 to 8 credits per quarter. A three-quarter-time student is defined as a student enrolled for 9 to 11 credits. A full-time student is enrolled for 12 or more credits. Credit enrollment defines the student’s financial aid eligibility. To receive a full Minnesota State Grant Program award, students must be enrolled in 15 or more credits and that award is recalculated downward at each enrollment level from 15 credits to 3 credits of enrollment.
Full-time students are permitted to complete one program during the period of enrollment and will receive assistance with placement and follow-up services. All students are expected to complete in the scheduled time, but extensions beyond the program length may be granted, provided satisfactory attendance and progress is maintained. These extensions shall not exceed 150% of the length of the vocational programs. However, students repeating a course will be assessed full tuition for that course. Repeating coursework will affect financial aid and may affect academic standing.
Students must satisfactorily complete each required course in order to complete their program. Students must have a cumulative grade point average of 2.0 to receive a certificate of completion and must meet all other graduation requirements. Successful graduation or completion of a course or program requires that all enrollment criteria have been met, all required assignments and/or testing out have been completed, and all tuition and registration fees have been paid in full.
Students will receive a certificate for completion in one or more of the programs, as well as transcripts of courses completed and credits earned. Students starting, but not completing a program may request a transcript for all coursework in which they were enrolled.
Extended Absence Policy
An Extended Absence is an excused leave from scheduled class time ranging from 2 to 4 weeks. Anything beyond 4 weeks (roughly 1/3 of an entire academic quarter) has been deemed unallowable by the Takoda Institute for such a length of time would permanently compromise the student’s ability to successfully complete their coursework for that quarter – at which point the withdrawal process should be pursued. Any student in need of an Extended Absence must be approved by the Takoda Institute – during which the student is not in attendance but is still considered to be enrolled. Approval for an Extended Absence must be procured from the instructor of each impacted class, as well as from the student’s Academic Advisor. These approvals must be documented with the completion of an Extended Absence Request Form for each impacted class. This form can be found within the Office of the Registrar. Students are responsible for all assignments during the approved absence and are required to work out an academic plan prior to the absence with the instructor of each impacted class to ensure academic progression. Not all classes are eligible for an extended absence. If a student needs to extend the absence further he or she may submit another request with a new date. Requests are not guarantees; student situations will evaluated on a case by case basis to ensure that the best outcome for the student is agreed upon. Extended Absences may be granted for documented illnesses, family emergencies, jury duty, military reasons, or circumstances covered under the Family and Medical Leave Act of 1993. Students requesting an Extended Absence need to schedule an appointment with their Academic Advisor first in order to determine their eligibility. If a student does not return at the expiration of an approved Extended Absence, nor requests an extension, the student will then be considered to have withdrawn on the day that the student began their approved Extended Absence.
Academic Progress Policy
Grades are determined on the basis of testing and performance, including the successful completion of activities. The minimum attendance described in the course syllabus is also necessary for a passing grade.
Policy on Incomplete Courses
Students, on occasion, may be unable to finish the required assignments for a class. Students can take the grades they have earned at that point or they can request an incomplete for the class, which is not automatically granted. Moreover, some rules govern the use of “I”s. Incompletes must be approved by the instructor, a Student Service Representative, and/or the Financial Aid Officer.
Records are kept and grades are reviewed with each student at regular intervals. Grades are assigned each quarter.
Points Assigned to Letter Grades
A, A-: Earns 4 points B+, B, B-: Earns 3 points C+, C, C-: Earns 2 points D+, D, D-: Earns 1 point F, I, P: Earns 0 points NE, WD: Earns 0 points
Adding or dropping classes is permitted during the first two weeks of each quarter. During this time, students may drop their enrollment from a class or add an additional class to their schedule without any repercussion to their overall GPA.
Academic and Financial Aid Satisfactory Progress
A grade point average (GPA) of 1.75 for the first quarter and a 2.0 for following quarters of any program is the minimum standard for satisfactory academic and financial aid progress and program completion. Students must also complete 67% of total enrolled credits in order to maintain satisfactory progress. A cumulative grade point average of 2.0 is required for continuing quarters and for graduation. These policies apply to all Takoda students.
Probation and Suspension
If a student’s grade point average (GPA) falls below 1.75 in the first quarter, the student will be issued a warning notice and will be placed on academic probation for the returning quarter. If a 2.0 cumulative grade point average is not reached in the returning quarter, the student is then placed on suspension. If after returning from suspension the student has not reached or maintained a minimum of a 2.0 cumulative grade point average and met the 67% minimum completion rate, he or she will no longer be eligible for federal and state financial aid. The student may be eligible to continue their coursework, but will be responsible for securing their own funding. In extreme cases, where, for example the student has completed no courses in the first quarter, this process will be accelerated and the student will be placed on suspension. Any suspension will last between one quarter and one academic year and will cover both academic coursework and financial aid.
Takoda faculty and staff work to help each student break down personal barriers which may prevent them from attaining personal goals and obtaining marketable job skills and employment. Students are free to discuss situations that interfere with attendance or employment issues. Staff will make every effort possible to help students solve their problems. Our staff is committed to help students find and keep employment. In addition, at least one staff member will be assigned to discuss academic expectations, overall progress, and identify any support needs to complete school and transition to employment.
Takoda Institute of Higher Education (A Division of American Indian OIC) does not guarantee employment or any particular level of compensation following graduation. Takoda Institute of Higher Education (A Division of American Indian OIC) does, however, offer assistance in finding employment to eligible graduates at no additional charge. Graduates who confine employment considerations for the metropolitan area served by Takoda Institute of Higher Education (A Division of American Indian OIC) may limit the particular employment opportunities available to them. Employment for graduates who are nonimmigrant aliens (neither US citizens nor legal permanent residents of the United States) is severely limited by US Department of Homeland Security regulations. Students must agree to supply Takoda Institute of Higher Education (A Division of American Indian OIC) with employment information for jobs gained after enrollment. The information required will include: name and location of employer, supervisor name, part time/full time status, job title, hourly wage, and eligible for benefits. AIOIC’s Takoda Institute will be contacting you and/or your employer regarding job acquisition information as well as to determine whether or not the job was retained throughout the four quarters following the start date or whether a different job was obtained. During this time students have the option to contact the school if they are experiencing a hard time at work and would like some coaching around a situation or for some reason. If you lose your job, please know that our employment staff can assist you in problem solving or helping you to find your next job. We will connect with you occasionally throughout the months during our retention process to see how you are doing and if you need any assistance. Our goal is to help you be successful in your job/career so keeping in touch with us will help us help you. We would also like to celebrate your success and inspire others through your story. Student Activities When active, the Student Council is a representative body chartered through the school, whose officers are elected amongst the student body. Students also publish the quarterly newsletter, The Spirit, and organize various special events including pot lucks, open houses, and fundraising events. Students represent the school when participating in these activities. One student representative and an alternate are selected by the students to sit on the AIOIC Board of Directors. Takoda graduates are members of the Alumni Association and can participate in its social and other activities.
